What is a show rate?
Show rate is the proportion of scheduled meetings attended according to the criteria defined by the team. An agency can use the indicator to understand the use of the sales calendar and investigate communication failures. The percentage needs to distinguish meetings held, cancellations and rescheduling according to a documented rule.

Why track which meetings happen?
The sales calendar reserves time for people who could attend to other contacts or prepare proposals. Tracking meetings held helps to measure the use of this time and identify situations that deserve review, such as unclear invitations or inappropriate schedules. The indicator does not automatically reveal the cause of an absence.
It is useful to compare the result with the context of the appointment and with the reasons given by the people invited. Unforeseen events happen, and an isolated absence does not prove a lack of interest. Guide the team on who records what happened and when to offer rescheduling.
How can you calculate the rate in a group?
If 20 meetings were scheduled to take place and 15 were attended according to the adopted definition, the calculation is 15 divided by 20, multiplied by 100: 75%. In this example, the denominator considers the group's planned meetings, without including meetings that will occur in the future.
Before comparing results, determine whether canceling in advance remains in the denominator and how to handle meetings with multiple guests. Track absolute numbers and use consistent criteria across periods so that a change in record doesn't look like a change in behavior.
What errors distort the indicator?
Counting the new date of a rescheduling as if it were an independent meeting in the same analysis can duplicate situations. Another error is recording a meeting as held when there was only confirmation that the guest will attend. Establish the meaning of each situation and review incomplete records with the team.
Don't conclude that a reminder caused an improvement just by looking at two different periods. The origin of the contacts, the time, the advance notice and the profile of the guests may also have changed. Look at comparable groups before deciding which adjustments are worth it.
How can Zenit OS help organize your schedule?
The calendar provides meeting tracking, and the documentation describes confirmation and reminder features subject to configuration and access. The team must check the available options, correctly record what happened, and maintain their own definitions for interpreting the indicator.
Availability depends on plan, role and configuration; a tool does not control whether guests show up. Schedule a demo to examine how your agency organizes confirmations, schedule changes, and follow-up registrations.
Frequently asked questions
Is a confirmed meeting the same as a meeting that happened?
Confirmation occurs before the meeting; whether the meeting actually happened must be recorded separately.
Are future meetings included in the denominator?
In the example presented, only meetings scheduled to take place in the analyzed period are considered.
Does the rate explain why someone was absent?
The percentage indicates frequency according to a rule; the reason needs to be investigated in the context of the conversation.
What percentage should every agency achieve?
There is no universal goal in the example. Consider lead mix and team capacity when setting expectations.
