What is setup?

Setup is the initial preparation necessary to start an operation or service. In an agency, it may involve gathering access, understanding the client's business, configuring external tools and arranging responsible parties before execution. The set of activities depends on the contract. Completing the setup does not mean that a campaign is ready or that it will produce a certain result.

Zenit OS is a platform for marketing agencies that brings sales management, WhatsApp prospecting, client operations and financial tools together in one place.

How important is setup for delivery?

The beginning of a contract concentrates dependencies on different people. The agency may need information about the offer, audience, communication and responsible parties, while the client needs to understand what materials to provide. A clear list of pending tasks helps to separate what can already be started from what is awaiting a response.

Not every service requires the same steps. An agency that prepares campaigns for several units may need to identify decision-makers and access points for each location; in another contract, the priority may be to gather materials and validate the plan. Adapt the list to the scope sold and inform when there is something outside of it.

How can you measure the progress of preparation?

A simple measure is the proportion of tasks completed on the agreed checklist. If a project has ten setup tasks and six have been completed, six divided by ten is 60%. Before using this number, define what it means to complete each activity and who confirms delivery.

The percentage does not automatically measure complexity or guarantee that the deadline will be met: a single pending dependency can prevent the service from starting. Therefore, also monitor the person responsible, deadline, blocks and date of the last follow-up. Adjustments to the scope must be recorded so that the basis of the calculation remains understandable.

What errors delay the start of work?

Starting without explaining dependencies can create unrealistic expectations about the delivery date. It is also problematic to request access without defining who is responsible for receiving it or considering appropriate security procedures. Agree channels and permissions with the customer and avoid sharing sensitive information unnecessarily.

Another mistake is using an identical checklist for different contracts without reviewing what was sold. A short handover meeting between sales and operations allows you to identify assumed deadlines, promised materials and points that still need validation with the customer.

How can Zenit OS support setup?

In the onboarding module, the agency can organize templates with phases, tasks and subtasks for client onboarding. This feature helps the team track readiness when the module is available and configured. The agency remains responsible for defining the content of tasks, taking care of external access and updating progress.

Check plan and permissions before designing the process, as access varies by team. Schedule a demo of Zenit OS and present your current checklist to understand how to organize your customers' entry steps.

Frequently asked questions

Do setup and onboarding mean exactly the same thing?

Terms may overlap. Setup tends to emphasize initial preparation; onboarding can encompass a broader journey of entry and alignment.

Do all tasks have the same weight in the percentage?

In the simple example, yes. The agency can complement the percentage with an analysis of blockages and critical activities.

Does completing the setup guarantee campaign results?

The setup prepares conditions to start; performance depends on several factors and subsequent execution.

Does the onboarding template work for any contract without adjustments?

Review phases and tasks according to the service sold and the obligations agreed with the customer.
