What is retention?

Retention is the retention of customers in a business relationship for a defined period. For an agency, monitoring the portfolio helps to understand the continuity of contracts and investigate experiences that may influence renewals or terminations. This measure alone does not show the satisfaction of each customer nor does it guarantee their future retention.

Zenit OS is a platform for marketing agencies that brings sales management, WhatsApp prospecting, client operations and financial tools together in one place.

Why analyze customer retention?

An agency's operation needs to plan people and deliveries for contracts that may have different durations. Observing retention helps identify groups that leave the service early and discuss the alignment between what was sold and what is delivered. Interviews and service records complement the reading of the numbers.

Comparing clients with similar services and start dates can reveal patterns that an overall average hides. An agency should also consider project contracts with scheduled termination, which have different dynamics than an ongoing monthly fee.

How can you calculate a retention rate?

If 40 customers were active at the beginning of a period and 34 of those same customers remain active at the end, the group's retention is 34 divided by 40, or 85%. Later entries fall outside this denominator because they did not belong to the initial group.

Define how to handle cancellations, reactivations and contract changes and keep these rules documented. Show the group size and period length when presenting the result. Small groups can vary significantly with the output of a single account.

What errors hinder the analysis?

Adding new customers to the initial group can hide departures from old contracts. Another mistake is to state that every stay indicates satisfaction: a customer may continue for contractual reasons or be evaluating alternatives. Combine data observation with appropriate conversations and issue logs.

Changes in price, customer profile and delivery method also need to be considered in a historical comparison. Before proposing action, try to understand the context of the affected contracts and assess whether the data is complete.

How does Zenit OS support retention management?

Operation navigation includes Retention & Cohort for authorized roles, in addition to customer tracking and feedback. The agency must confirm what features and filters are available in the plan and define the meaning of active customer used in its analyses.

Records help organize work, but relationship actions depend on the team. Schedule a demonstration to discuss your portfolio, the permanence criteria and the information that each responsible person can consult.
