What is a pipeline?

Sales pipeline is the organization of sales opportunities into stages that show where each negotiation is. An agency can use it to follow up from the first contact to the decision on a proposal, with those responsible and next steps. The design of the steps should reflect how the team actually sells its services.

How does a pipeline help the agency manager?

Viewing negotiations by phase allows you to identify concentration of opportunities and plan sales actions. If many conversations await a proposal, for example, the team can investigate whether there is a lack of information, capacity to prepare the document or feedback from the potential client. The stage is a signal for analysis, not an automatic cause.

To work, each step needs an understandable definition: which event allows entry, what information must be recorded and when an opportunity leaves it. Simple rules favor consistency between people and make the passage of a negotiation easier to understand.

How can you calculate the conversion rate between stages?

Imagine 30 qualified opportunities in a monitored group and nine that made it to the proposal. The pass rate of this qualification for proposal is nine divided by 30, or 30%. For the calculation to make sense, follow the group for a period compatible with your sales cycle.

The value proposed in an opportunity is not yet received revenue. Keep proposals under analysis, won deals and closed negotiations separate. When comparing sellers or periods, consider differences in the origin and profile of the contacts that reached each person.

What failures distort the pipeline?

Maintaining negotiations at one stage for an indefinite period of time can create an optimistic view of the pending work. There is also a risk when each member uses a different meaning for words such as qualified or proposal. Review old records with the person responsible and record the reason for closure when this information is available.

Don't pressure the team to change a stage opportunity just to improve numbers. If there is still a lack of data about the prospect's need, keep this limitation explicit. A prediction based on incomplete steps should be treated with caution and reviewed with history.

How does Zenit OS support the business organization?

Lead management and the calendar offer support points for keeping track of information and meetings. Records need to be updated by the team, and resource availability depends on the plan and permissions. Pipeline design and passage criteria remain agency decisions.

Before changing your routine, test the flow with a real negotiation and check what information each role needs to consult. Schedule a demo of Zenit OS to examine the organization of opportunities in the context of your business process.

Frequently asked questions

Are pipeline and received revenue equivalent?

No: opportunities represent ongoing negotiations. Payments need to be reviewed with your own records.

Should every agency have the same steps?

There is no universal sequence. The phases must correspond to the sales process that the team can apply.

Should a stalled proposal stay open forever?

The person responsible must review it and record the referral in accordance with the response and agency rules.

Does the phase-to-phase rate provide for each closing?

It describes the history of the group analyzed and does not guarantee the outcome of an individual negotiation.
