What is churn?

Churn is the loss of customers or recurring revenue during a period, depending on the definition adopted. For an agency, tracking cancellations helps investigate whether the service delivered, sales expectations and service are aligned. The percentage alone does not explain why a customer terminated the contract.

Why monitor portfolio churn?

The departure of customers affects the continuity of revenue and may require new sales to maintain the size of the operation. Observing movement helps the team analyze moments of risk and plan capacity. A contract terminated on time for a project may have a different context than an early cancellation.

Define whether the analysis only includes recurring contracts, which dates count and how reactivations will be handled. Share the definition between sales, operations and finance to reduce divergences when teams discuss portfolio results.

How can you calculate customer churn?

If the agency started the month with 50 active clients and five of them canceled during that month, five divided by 50 results in 10% churn. In this example, customers acquired throughout the month are not included in the initial denominator. The same criteria must be documented for subsequent periods.

Revenue churn uses values, not number of customers, and may behave differently when contracts have unequal monthly fees. Distinguishing gross loss from changes due to contract expansion or reduction also prevents numbers with different definitions from being compared as if they were the same.

What errors are common in analysis?

Subtracting new customers from cancellations without explaining the formula can hide a significant loss in the existing portfolio. Another precaution is to attribute all output to a single cause without talking to the client and examining the contract history. Conclusion may involve budget, scope, service or a combination of factors.

Percentages of small groups fluctuate a lot when a single contract ends. Check dates and duplicates before comparing periods and keep absolute numbers visible, in addition to the rate. A one-off improvement does not guarantee that the same standard will continue.

How do the operations tools in Zenit OS help track your client portfolio?

The operation module offers features for customer management and includes a holding area for authorized roles. The team can use the available records to organize portfolio reading while maintaining their own definitions for active contracts and cancellations. The example formula is a general management guideline.

Availability depends on plan, permissions, and configuration. Schedule a demonstration to discuss how to record your tracking process and verify the information each person responsible will have access to.

Frequently asked questions

Are customer churn and revenue churn the same?

Not necessarily: Losing one high-value contract can affect revenue more than several smaller contracts.

Do new sales cancel out cancellations in the formula presented?

In the example of losing existing customers, new entries are analyzed separately.

Does the indicator reveal the reason for each departure?

The rate quantifies occurrences according to a definition; the reasons need to be investigated in each relationship.

Does a low rate guarantee satisfaction?

No: It's useful to examine the experience and context of customers, including those who are still active.
