What should you organize before issuing charges?

Review the contracted amount, the due date, the person responsible for payment and the negotiated conditions. Confirm how the agency records discounts, scope changes, and closures, as a charge needs to reflect the current agreement. If there is a discrepancy between sales and financial, resolve it before issuance.

Define who checks the data and who assists the customer when information is incorrect. Automation depends on adequate registration; it does not decide on its own whether an exceptional condition has been approved. Maintain a process for recording partial payments and settlements as they occur.

How does automatic billing work in Zenit OS?

In the customer's file, in Financeiro → Visão Geral → Clientes (Finance → Overview → Clients), the agency can configure the recurring subscription and choose a due date from 1 to 31. In months without a chosen day, the due date uses the last day of the month. An invoice already issued for the billing period is not duplicated. If the invoice is canceled or deleted, it will not be automatically recreated.

In Financial → Settings, the agency can activate the issuance of charges in Asaas along with the subscription invoice; the option starts off. If the issuance fails, the invoice remains and the history records the warning. When the payment is confirmed, Admin and Finance receive a notification with the customer and amount, as long as they have allowed notifications in the browser or application.
